Procedures For Verifying ACI/COATS Card Status

Contractors should regularly check the card status of their employees. The mere presence of a card does not verify the card is still currently valid. Card status can be verified by contacting the program administrator, Midwest Toxicology Services, by any of the methods listed below:
Secure web site
  • Only authorized users (DER) may access the database to check card status
  • A user ID and password must be previously set up with Midwest Toxicology to use this option
  • To register on the secure web site, http://checktests.midwesttoxicology.com.
Telephone
  • Call toll free at 1-800-358-8450 or 1-317-262-2200 - ask for ACI/COATS database assistance
  • Provide attendant your name and company name - your company must have previously set you up as a contact (DER) that is eligible to verify employee card status
  • Provide attendant with ACI/COATS card number or social security number or name
Email
  • Send an email to coats@midwesttoxicology.com
  • Include ACI/COATS card number, social security number or name of employees you want to check status on
  • Only pre-authorized company personnel (DER) will be provided card status information
Fax
  • Fax a list of ACI/COATS card numbers, social security numbers or names to 1-317-262-2222
  • Only pre-authorized company personnel (DER) will be provided card status information
What information will be provided to you when you check an employee's card status?
  • If you are authorized as the company DER (designated employer representative), you will be given any confidential information about your employee
  • If you are set up only to verify card status, you will only be provided the following information:
    • Card is valid
    • Card is not valid
    • Card is not file
What do you do if an employee's card status is not valid?
  • If an employee's card status is reported as "not valid" or "not on file" the contractor should contact the program administrator for assistance in resolving the issue associated with the card status
  • It is recommended the contractor obtain written permission, at the time of hire, to access this information from the ACI/COATS database - MTS may ask for proof of such documentation
  • If contractor is not eligible to obtain this confidential information, the employee should be instructed to contact the program administrator for assistance in resolving the issue
  • If their status is invalid because the employee had not been previously tested, they must be tested
  • If their status is invalid because of a previous violation (a test result that was positive, adulterated, refusal to test or two consecutive diluted specimens), the contractor shall follow their company policy procedures and inform the employee of the ACI/COATS requirement of a 14 day waiting period and the Substance Abuse Professional's (SAP) documented fitness for duty requirements prior to re-testing. If the employee has documented proof that he/she does indeed have a valid card, it is his/her responsibility to contact the ACI/COATS program administrator to resolve the issue.
